DCS Corp has an exciting opportunity for an Administrative Support Senior position providing support to the Air Force Life Cycle Management Center/PEO Intelligence, Surveillance, and Reconnaissance / Special Operation Forces (ISR/SOF) Directorate (AFLCMC/WI). This position will support the MH-139A Senior Material Leader in the AFLCMC/WIH (Helicopter Program Office) Division.
Essential Job Functions:
The employee shall maintain calendars for key personnel and conference rooms, resolving schedule conflicts and disseminating all changes.
The employee shall receive incoming phone calls, routing to the appropriate party or documenting for further action.
The employee shall serve as timekeeper for Government civilian personnel, maintaining documentation that tracks time away from the job.
The employee shall in-process and out-process all personnel (Government and Contractors). The employee shall input information required into Government databases, develop and maintain a welcome packet, and arrange seating, computer, and phone support as necessary.
The employee shall coordinate arrangements, agendas, and briefing materials and record/track program action items and suspense’s for events such as meetings, reviews, working groups, and audits. For these events, the employee shall coordinate with functional managers, outside agencies, Contractor personnel, and the program office customers.
The employee shall assist with the establishment and maintenance of official file plans with the use of Electronic Records Management System (ERM).
The employee shall assist in preparing Continental United States (CONUS) and Outside the Continental United States (OCONUS) travel arrangements and travel vouchers using Defense Travel System (DTS) in accordance with the Joint Travel Regulations (JTR) and the Joint Forces Travel Regulations (JFTR).
The employee shall assist with the ordering of office supplies and with maintaining an inventory of stock, gather requests for supplies, and prepare and itemize various lists for supplies/equipment. The employee shall recommend items to be ordered/purchased and assist with the delivery.
The employee shall collect and prepare materials for staff meetings as required.
The employee shall provide support to the Video Teleconferencing (VTC) manager. The employee shall assist with VTC bridge scheduling processes, and shall coordinate VTC connectivity and interface requirements/issues with the VTC maintenance Contractor.
The employee shall retrieve data/information from program databases in the form of queries and reports as required.
The employee shall facilitate the use of standardized automated forms such as travel orders, performance reports, materials procurement, maintenance and disposition, as well as other periodic or ad hoc reports.
The employee shall assist with distributing and transmitting correspondence and incoming and outgoing mail.
The employee shall assist personnel with the transmittal of time sensitive government correspondence using overnight or express mail services.
The employee shall review and edit all documentation and correspondence prior to the HPO Director and/or Deputy Director’s or System Program Manager’s signature.
The employee shall perform other administrative duties as required.
The employee shall assist with the creation and maintenance of an emergency accountability folder to be used for base exercises and real-world situations. The employee shall assist with the creation and maintenance of recall, phone, and accountability rosters, both electronically and physically. The employee shall assist with the dissemination of information as necessary for all personnel to be prepared for emergencies.
Required Skills:
Due to the sensitivity of customer related requirements, U.S. Citizenship is required.
A High School Diploma plus a minimum of 5 years relevant work experience.
Secret clearance is required.
